Overview
If you’re an employee who needs new software or if you’re facing a problem that may require a custom software solution, it’s important to follow the correct steps to ensure proper review, prioritization, and funding.
Note: Employees must work with thier portfolio manager to get approval for all software purchases regardless of the cost (even if it is a free).
Step 1: Determine Your Vice President
Each department or area of the university falls under a Vice President. Identifying your Vice President is key to knowing which Portfolio Manager you should contact.
Step 2: Contact Your Portfolio Manager
Portfolio Managers help assess software needs and coordinate requests. Reach out to the correct Portfolio Manager based on the area your department reports to:

Step 3: Meet and Discuss Your Needs
Once you’ve identified the right Portfolio Manager, set up a time to discuss your needs. Be prepared to explain:
- What problem you’re trying to solve
- Whether you’ve explored existing software
- The expected cost (if known)
- Any deadlines or timelines you’re working with
Why This Matters
Working through your Portfolio Manager ensures:
- Strategic alignment with university goals
- Cost-effective use of resources
- Proper coordination with IT, purchasing, and other departments
If you’re unsure who your Vice President is or need help identifying your Portfolio Manager, contact the IT Service Desk for assistance.
