Moving Data Between Personal and ChatGPT Edu Accounts

Purpose and Bottom Line

We cannot guarantee that data moves from a personal ChatGPT account into a ChatGPT Edu account. OpenAI says it supports the transfer, but in practice it sometimes does not happen, and some users have lost data.

This article helps the AI support agent and support staff set honest expectations when a user moves from a personal ChatGPT account to their ChatGPT Edu account in the CES workspace. The safest path is always the same: save the data first, then switch.

For how users end up in the wrong account in the first place, see ChatGPT Edu - Troubleshooting Account Collisions.

What OpenAI Says It Supports

OpenAI documents a merge that copies supported content from a personal workspace into an Enterprise or Edu workspace, but only when both belong to the same ChatGPT account (the same sign-in email). (OpenAI: Migrating your personal workspace)

When the merge is offered: A user joining an Edu workspace who already has a personal workspace under the same account email may see a migration prompt. Automatic account creation can trigger the same prompt. The prompt may offer to merge the personal workspace, or to export and delete the personal data. (OpenAI: Onboarding employees with existing ChatGPT accounts)

What OpenAI says transfers:

Content Transfers? Exceptions
Conversations Yes Only supported conversations in cloud history; some older or long-running conversations may not be retrievable
Files Yes Expired, deleted, unsupported, or unowned files may be unavailable
Custom GPTs the user created Yes GPTs created by others do not transfer; public sharing must be redone
Projects the user created Yes Projects owned by others do not transfer
Saved memories Eligible Project-scoped memories do not transfer
Custom instructions and personalization Eligible Existing settings in the Edu workspace take precedence
Automations Yes Only supported automations
Connected apps Some Custom connectors and connections needing reauthentication do not transfer
Custom plugins No
Sites No

What OpenAI itself warns about:

  • The merge is all or nothing. Users cannot pick individual chats, projects, or files.
  • There is no undo. The personal workspace is deactivated after the merge.
  • Data-residency requirements may prevent personal chats from transferring.
  • Self-service data export is not available in Enterprise or Edu workspaces, so users must export personal data before merging.
  • Migrated content may appear gradually.
  • An eligible web-billed Plus or Pro subscription may be canceled and refunded through the merge. A subscription bought through Apple or Google must be canceled separately.
  • Migrated content follows the organization's access and retention policies. If the user leaves, they may lose access to it.

What We Have Observed

In practice, the merge OpenAI describes is not reliable enough to depend on.

  • The migration prompt does not always appear, even for users who should see it.
  • When the prompt does appear and the user completes it, some users still lose data.
  • A user who signed in with a BYU-Idaho email that differs from their UPN has a separate personal account. OpenAI's merge works only within one account, so there is no supported path to move that data.
  • A personal Pro plan under the BYU-Idaho email, paid with a university credit card, has no clean migration path.
Important: Our position: treat any data that transfers as a bonus, not a plan. Users should save what matters before any change.

Which Situation Applies

Whether a transfer is even possible depends on which email the personal account uses.

Situation OpenAI merge available? What to expect
Free personal account, created by signing in with a BYU-Idaho email that differs from the UPN No, it is a separate account Data stays in the free account. The user copies what they need by hand.
Personal subscription under the UPN, created before CES provisioned the user Yes, in principle The prompt may not appear, and data may not arrive.
Personal Pro plan under the BYU-Idaho email, paid with a university credit card No No migration. The user keeps the account by moving it to a personal email, then cancels it.

To identify the situation, ask the user which email the personal account uses and whether they paid for it, and with which card.

Save Data Before Any Change

Users should export their personal ChatGPT data and confirm the file opens before they merge, sign out, change an email, or cancel anything. (OpenAI: Exporting your ChatGPT history and data)

  1. Sign in to the personal ChatGPT account, not the Edu account.
  2. Open the profile menu and select Settings.
  3. Select Data controls.
  4. Under Export data, select Export, then Confirm export.
  5. Wait for the email or text message from OpenAI. It can take up to 7 days.
  6. Select Download data export within 24 hours, while signed in to the same account. The link expires after 24 hours.
  7. Open the ZIP file and confirm the chat history is there.
Tip: Plan for the wait. Because an export can take up to 7 days, users should request it as soon as they learn they are in the wrong account.

What the export is for: OpenAI does not support moving conversations from one account's chat history into another account's chat history. The export is a copy for the user's records, and the user can upload its conversations.json file into a new chat so ChatGPT can reference it (see Steps for each situation). (OpenAI: Transfer exported conversations between ChatGPT accounts)

For a few critical chats, copying the content into a document is a quick extra backup.

Steps for Each Situation

Every path starts the same way: export the personal data and confirm the file opens (see Save data before any change).

Free Personal Account Under a BYU-Idaho Email

OpenAI's merge does not apply here, because the free account and the ChatGPT Edu account are separate accounts.

  1. Export the free account's data and confirm the ZIP file opens.
  2. Sign out, then sign in to ChatGPT Edu with the UPN, following the Sign-in steps in the troubleshooting article.
  3. Optional: to let ChatGPT reference old conversations, extract the ZIP, find conversations.json (large exports may contain numbered files instead), start a new chat, and upload the file.

The upload gives ChatGPT reference material in that one chat. It does not restore chat history, the sidebar, separate chats, memories, GPTs, or custom instructions. If the file is too large, upload the numbered files separately, split the file, or upload only the conversations needed.

Personal Subscription Under the UPN

OpenAI's merge should apply here, but the prompt may not appear and data may not arrive.

  1. Export the personal data and confirm the ZIP file opens.
  2. Sign in to ChatGPT Edu with the UPN.
  3. If a migration prompt appears, choose the transfer option and follow the on-screen instructions. The merge cannot be undone.
  4. If no prompt appears, OpenAI documents a manual option under Settings > Data controls > Merge data from your personal workspace. OpenAI writes these steps for Business workspaces, and we have not confirmed them in the CES workspace.
  5. Check conversations, GPTs, projects, and Archived chats. Content may appear gradually, so refresh or sign out and back in.
  6. If content is still missing, the user relies on their export, including the reference upload described above.
  7. Confirm the personal subscription stopped billing. OpenAI says an eligible web-billed Plus or Pro subscription may be canceled and refunded through the merge; an Apple App Store or Google Play subscription must be canceled there.

Personal Pro Plan on a University Credit Card

There is no migration. The user keeps the account by moving it off their BYU-Idaho email, then stops the university charge. Follow this order exactly.

  1. Change the email on the Pro account from the BYU-Idaho email to a personal email, such as a Gmail address.
  2. Sign in with the personal email, confirm the data is still there, and export it.
  3. Cancel the subscription so the university credit card stops being charged. To keep a paid plan, the user must pay with personal funds.
  4. Sign in to ChatGPT Edu with the UPN.

Changing the email before canceling keeps the user's access to the account and its data. If they cancel first, we cannot guarantee they keep their data.

Guidance for the AI Support Agent

Be honest that transfers are not guaranteed, get the user exporting first, and never promise that data will move.

Do

  • Tell the user plainly: OpenAI supports some transfers, but we have seen them fail, so they should export their data first.
  • Tell them to request the export right away. It can take up to 7 days, and the download link expires 24 hours after it arrives.
  • Identify the situation by asking which email the personal account uses, whether they paid for it, and with which card.
  • For a university-funded Pro plan, state the order plainly: change the email, confirm the data, then cancel.
  • Explain that uploading conversations.json gives ChatGPT reference material, not their old chat history.

Don't

  • Promise that chats, files, GPTs, or memories will transfer.
  • Tell a user to accept a merge before they have a working export.
  • Suggest that an export can be loaded back into the chat sidebar.
  • Advise canceling a paid personal plan before its email is changed to a personal address.

Escalate to a Human When

  • The user reports data missing after a merge, even after refreshing and checking Archived chats.
  • The export fails or has not arrived after 7 days.
  • The user's situation does not match any of the three in this article.
