Starting Fall 2026, employees will be able to use the new cloud-based Pharos Print system. A printing software called Print Scout will automatically be added to employee computers to enable easier access to the BYUI Printing system without needing to install specific drivers. This will also enable users to print without being connected to the BYUI main WiFi. Additionally, if a print is made on a department printer by someone who is not in that department, the user who made the print will be charged instead of the department owning the printer.
Logging in to Print Scout
To log in to begin using Print Scout, follow the steps below.
1. On your taskbar or toolbar, click the up arrow icon, and then the printer icon
On Windows:

On a Mac:

2. You will be taken to a welcome page. Click "Login to continue".

3. Enter your BYUI email, and then log in with your Church account credentials.
4. When you get a window requesting permission, click "Accept"

5. You may close the page that says "Authenticated successfully", whereupon you will see a 6-digit code. Keep track of this code, as this will be an alternate way of logging in to the printers.

If you forget this number or need a new one, you can reset it at any time by opening the Print Scout menu, selecting "Reset Passcode" and following the steps listed.

Adding Printers
Work Location
Based on your office location, Print Scout will automatically add printers for you to use. The work location is set based off the wired network address you are connected to. If this doesn't work, you can manually set your location as follows:
1. Open the Print Scout application and click the hamburger menu in the upper right corner

2. Click "Workstation Location"

3. Location will be on auto-detect, but by selecting the dropdown button, you can click "Manually set" to set your preferred location

4. You will see already highlighted the work location Print Scout is currently set up with. To change it, simply navigate to and click on your building, floor, and office number and click "Select"

5. Click "Save"

All printers associated with that work location will automatically be added to your computer for you to print to, and other printer not associated with that location will be removed. Printers you have added manually will remain on your printer list.
Adding Printers Manually
Pharos Cloud offers the option to charge the person who uses the printer, rather than the department that owns a printer. This means you can use printers across campus without charging the wrong department. To manually add a new printer to print to, follow these steps:
1. Open Print Scout, and then click Direct Print > Add

2. Browse the building list and find the printer you want. Then click "Add"

3. Verify the printer shows up in your Direct Print menu

Once the printer shows up there, you will be able to select that printer from any print menu on your computer.

Remove a Printer
To remove a printer
1. Open Print Scout
2. Select the printer you wish to remove
3. Click the "Delete" button

4. Confirm you wish to remove the printer from your Direct Print list

Printing Documents
Direct Printing
If you wish to print directly to a standard printer, you can continue to do so. Simply select the printer from your print menu, and click print. You will get a notification when your item has been printed.

The notification will also show you what account was charged for the print.

Print Release Stations
You can use the print menu directly from your device to print to a print release station. The difference between print release and direct print is that print release won't print until you get to the printer and tell it to. To use the print release stations:
1. Navigate to the document you wish to print and set up the print settings how you would like it to be printed
2. In the "Printer" section of print settings, select "Pharos Secure Printer"

3. Once you have made sure the settings are accurate, select "Print"
- You will be able to see your documents currently in the secure print queue by opening Print Scout and looking at the document list. If the document doesn't appear immediately, refresh the list.

4. Go to the printer you would like to use and log in
- You can either swipe your I-Card or use your 6-digit login PIN by selecting "Keyboard Sign In"

5. Verify that the document is being billed to the correct account. If you need to change the billing department, you will need to re-upload the document. The billing account for print jobs cannot be changed at the printer.

6. To print all documents in the queue, select "Print All"

7. To select and print a specific document from your queue, click "Review Documents", select the file(s) you wish to print, and click "Print"

Cancelled Document/Changing Billing Account
If you do not have enough points in the current account to print a job, you will see an error like the one below.

If you get this error or just want to change the billing account in general, either click the "Change Account" button, or follow the steps below:
1. Right click on the Print Scout document list
2. Click "Active Account"

3. You will be redirected to the web portal. From there, select your document and click "Change account"

Alternately, you can simply click the "Change Account" button at the top of the screen.

Note: It may be necessary to re-upload your documents after changing the billing account.
