Create SharePoint Site

SharePoint sites allow groups to organize files, create wikis, or store other information for collaboration needs. SharePoint sites are created by requests through TD.  


Procedure

TD Response

  1. Change ticket title from "Microsoft 365 Issue" to "SharePoint Site Request".
  2. Notify requestor through TD that you've received their request and are working on it.

Site Creation

  1. Open the Microsoft 365 Admin Center

  2. From the Navigation Menu select Show All at the bottom, under Admin Centers, select SharePoint. 

  3. Click on “Sites” and select “Active sites”. 

  4. Click: 

  5. Select the option: 

  6. From the menu click on “Team Site”. This “Team Site” option differs from the first “Team Site” option in that this option does NOT create an Office 365 Group with it. We do this because often times they already have a group email or a team, or they do not need one. 

  7. Name the site with whatever the requestor has put in the Team Dynamix ticket. Provide a specific and short URL. Don’t make excessively long acronyms, and if you are unsure speak to the SharePoint Administrator for guidance. 

  8. Assign yourself as Primary Administrator. This will allow you to assign special permissions to the site after creation. 

  9. Click on Advanced settings. Change the Time zone to Mountain Time and the Storage limit to 10GB. If additional storage is requested, double the current quantity. If the site reaches more than 100 GB double check with the SharePoint Administrator to add more. 

Add Power User

  1. Follow the steps 1-2 on How to Assign Site Permissions
  2. Click on Site Collection Administrators and typing “SharePoint Administrator”, “SharePoint Student Administrator”, and the designated Power User to the Site Administrators. To avoid duplicates, delete your name from the list. Click OKA power user is responsible for the management and development of the site. Only full-time employees are assigned as Power User. 

Add Site Owner

  1. Click on Grant Permissions

  2. On the new window type the name or email of the designated Site Owner. On the Select a permission level click on OwnerThe Site Owner is responsible for deciding the suitability of site contents, and accuracy of site permissions. Power User may also be Site Owner. Only full-time employees are assigned as Site Owner.

TD Resolution

Notify the requestor through TD that the site has been created and include either of the following disclaimers (these are also coded as response templates in TD): 

  1. Different Power User & Site Owner: 

    • “The URL to your new site is _____. The Power User has been set to ______. They are responsible for the maintenance and upkeep of the site contents. The Site Owner has bet set to ______. They are responsible for the maintenance and upkeep of the site permissions.  If you have any further questions, please contact us and we will be happy to help you get started with your site.” 

  2. Power User & Site Owner Are The Same: 

    • “The URL to your new site is _____. The Power User and Site Owner has been set to ______. They are responsible for the maintenance and upkeep of the site contents and for the maintenance and upkeep of the site permissions.  If you have any further questions, please contact us and we will be happy to help you get started with your site.” 

  3. Append Any Additional Permissions Given: 

    • “The following permissions have been added to the site in addition to the Power User/Site Owner. {First Name Last Name} - {Permission Level}”
