Using Role Manager

Role Manager is a BYU-I proprietary tool that has been developed to organize roles and permissions that come with them. This help guide can help to train faculty and employees on how to use role manager and how to identify who to talk to in order to add users to access content.

How to Look up a User

  • In the "Users" Section, a user can be looked up by their name, BYU-I email (for most current students), and their username.

Identifying a User Type

  • Role manager can help us identify if a user is an alumni, employee/faculty, student, guru, or service.

  • It can also show if they are a pathway legacy student.

Access to Group Emails

  1. In the "Emails" section, Search the Email address.

  1. Click the email. Verify the user is listed, if they are not they need to contact the administrator over the email to be added.

  2. To Find the administrator, click into the role the email is a part of (in the example below it would be "IT Service Desk Employee"), and see the "Key" holders in the "Assigning Roles" section.

Access to Shares or i-drive

  1. In the "Shares" Section, Search the Drive address.

  1. Click the drive folder. Verify the user is listed, if they are not they need to contact the administrator over the drive to be added.

  2. To Find the administrator, click into the role the drive is a part of (in the example below it would be "IT Service Desk Employee"), and see the "Key" holders in the "Assigning Roles" section.

  • Access to sharepoints, computers, servers, or applications is also available, but not normally used.

Assigning Roles

  • If you have a "key" you can assign the role.

  • Find who has the key by clicking on the desired role or the role to the desired email/i-drive.

  • If they have a key and want to assign the role, have them follow the steps below

  1. On the welcome page, select the key for the appropriate role.

  2. It will then show who already has the role and what key is associated with the role that you can give access.

NOTE: A "Key" user cannot add a "key" user of the same role, for this issue create a ticket and send it to Mike Murri.

  1. If they scroll down they can add a User.

  1. After selecting "Add User", they can search the user by name, username, or email. Then they can select "add" to add the user to the role. The role will then be added by access to the email, iDrive, etc.
