Breaking/Unique Permissions
Breaking/unique permissions is never recommended as it makes SharePoint sites very difficult to govern. If you are breaking permissions it is recommended to only do so on a list/library/folder that has the title set as the permissions that are set on said list/library/folder. For example, if you have a document library that you are going to share with the site's parent permissions as well as the role "everyone except external users", you would title the library "Everyone Except External Users".
Procedure
List/Library
- Proceed to the list or library.
- Click the gear on the top right and select List/Library Settings.
- Within the List/Library Settings, select Permissions for this ....
- In the ribbon, select Stop Inheriting Permissions.
- Currently, nothing permission wise has been changed. This change just allows you to add addition users, or delete exisiting users/groups. If, at this point, you delete a user within an existing group, it will delete it across the site because that group is listed in the parent permissions. Just because it is listed in an area with broken permissions does not mean that group has been seperated from other places it exists.
- Add/delete necessary users/groups.
- It is highly recommended to use roles when adding permissions.
-
Once permissions are broken/unique, it is highly recommended to add a key word to the title of the library/list that specifies which permissions the library/list has.
List/Library Item
- Proceed to the list or library that contains the item you want to break permissions on.
- Hoever over the item and and select the three ellipses > Manage Access > Advanced.
- In the ribbon, select Stop Inheriting Permissions.
