Work/School (BYUI) vs. Personal Microsoft Accounts

What Is the Difference?

Microsoft supports two separate types of accounts:

  • A work or school account is created and managed by an organization, such as BYU-Idaho.
  • A personal Microsoft account is created and managed by an individual.

The accounts may use the same email address, but they remain separate. Account information, files, licenses, passwords, and settings do not synchronize between them. Why Am I Being Asked to Choose an Account?

Microsoft may display the message:

It looks like this email is used with more than one account from Microsoft. Which one do you want to use?

This means that Microsoft has both a work or school account and a personal Microsoft account associated with the email address entered. The two selections do not lead to the same account. [support.mi...rosoft.com], [Which acco...nt to use?]

Work or School Account

Choose Work or school account when accessing Microsoft services provided by BYU-Idaho.

A BYU-Idaho work or school account:

  • Is created and managed by BYU-Idaho.
  • Provides access to Microsoft 365 services assigned by the university.
  • Uses organizational security, privacy, compliance, and administrative controls.
  • May provide access to services such as Outlook, Teams, SharePoint, OneDrive, and other Microsoft 365 applications, depending on the licenses and permissions assigned to the account.
  • May be disabled or removed when the person is no longer eligible for university access.

NOTE: Use the BYU-Idaho work or school account for university work, university files, and BYU-Idaho Microsoft 365 services.

Personal Microsoft Account

Choose Personal account only when accessing Microsoft products or services that you personally own or manage.

A personal Microsoft account:

  • Is created and managed by the individual.
  • May be associated with Outlook.com, OneDrive Personal, Xbox, Skype, the Microsoft Store, or a personal Microsoft 365 subscription.
  • Is not managed by BYU-Idaho.
  • Has its own password, security settings, storage, subscriptions, and support relationship with Microsoft.
  • Does not automatically provide access to BYU-Idaho Microsoft 365 resources.

NOTE: BYU-Idaho support may be unable to reset the password, recover data, change settings, or resolve subscription problems for a personal Microsoft account.

Which Account Should I Choose?

Use the following guidance when Microsoft displays both options:

Choose Work or school account for:

  • BYU-Idaho email in Outlook
  • Microsoft Teams used for classes or university work
  • BYU-Idaho OneDrive files
  • BYU-Idaho SharePoint sites
  • Microsoft 365 applications licensed through BYU-Idaho
  • Other services that require a BYU-Idaho organizational sign-in

Choose Personal account for:

  • Personal Outlook.com email
  • Personal OneDrive storage
  • Xbox services
  • Personal Microsoft purchases or subscriptions
  • Microsoft services established independently from BYU-Idaho

How Can I Tell Which Account I Am Using?

Check the account or profile menu in the Microsoft application or website.

Look for:

  • The organization name
  • The signed-in username
  • A Work or school or Personal designation
  • The OneDrive or SharePoint location associated with the account
  • The organization or tenant displayed in applications such as Teams

Can the Accounts Be Merged?

No. A personal Microsoft account and a Microsoft 365 work or school account cannot be merged or linked into a single account.

The accounts can be used side by side in supported applications. For example, OneDrive can synchronize personal and work or school storage on the same computer, but the two storage locations remain separate. How Do I Stop the Account-Selection Prompt?

Microsoft recommends changing the primary sign-in alias of the personal Microsoft account so that it no longer uses the same address as the work or school account.

Renaming the personal account changes its sign-in address. It does not rename or modify the BYU-Idaho work or school account. Before making this change, review whether the personal account is associated with services or subscriptions such as Xbox Developer, Visual Studio, or MSDN. Licensing

There is no separate license required simply to have a personal Microsoft account or a work or school identity.

Access to individual applications and services depends on the licenses assigned to the account:

  • Work or school account: Access is determined by BYU-Idaho’s Microsoft 365 licensing and the licenses assigned by university administrators.
  • Personal account: Access is determined by the Microsoft services or personal subscriptions owned by the individual.
