
BYU-Idaho alumni email accounts are being retired as part of ongoing security and system management efforts. If you have received notification that your email access will be ending, we encourage you to save any important emails, contacts, or attachments as soon as possible.
This guide explains the options available to help you preserve important information before your account is removed.
Requesting a Mailbox Export (.pst File)
If you would like to keep a copy of your entire mailbox, the IT Service Desk can assist by coordinating a mailbox export request with the appropriate department.
A mailbox export creates a .pst file, which is a Microsoft Outlook data file containing:
- Emails
- Folders
- Calendar items
- Contacts
- Tasks
To request a mailbox export:
- Contact the IT Service Desk.
- Request assistance with an alumni email mailbox export.
- The Service Desk will create a ticket and assign it to the Messaging Team.
- The Messaging Team will complete the export process and provide instructions for accessing your file.
| Note: Mailbox exports take time, depending on the mailbox size. Please submit your request before your account access expires. Once the account is removed, mailbox data may no longer be recoverable. |
Save Important Emails Individually
You may also save individual emails manually. To save an email as a PDF, follow the appropriate steps below:
Outlook Desktop App
- Open the email.
- Select File > Print.
- Choose Microsoft Print to PDF.
- Save the file to your computer.
Outlook on the Web
- Open the email.
- Select the three dots (...) in the upper-right corner.
- Choose Print.
- Save as PDF using your browser or printer options.
Saving Attachments
If you have important attachments stored in your email:
- Open the email containing the attachment.
- Select the attachment.
- Choose Download or Save As.
- Save the file to your computer or personal cloud storage.
Forward Important Emails Manually
You may manually forward important emails to a personal email account.
- Open the email.
- Select Forward.
- Enter your personal email address.
- Send the message.
| For security reasons, automatic email forwarding to personal accounts has been disabled. You will not be able to create any rules to automatically forward your emails. |
