Setting up a Microsoft Bookings Calendar for the First Time

To make the most of your Bookings calendar, we've identified the most commonly used settings and listed them below. Please ensure you have each of these settings enabled. You can always adjust them as needed.

  1. Log in here - Microsoft Bookings
  2. Scroll to the "Shared booking pages" section and click "Create booking page".
  3. Click "Create from scratch".
  4. Type the name of the new page in the "Name" field.
    1. Add a logo (optional)
    2. Business type (optional)
    3. Business hours (This is your actual open hours.  You'll choose "bookable" hours at a later point.)
  5. Click "Next"
  6. Invite staff (optional)
  7. Click "Next"
  8. Choose your default appointment duration.  You'll be able to add more services and customize later on.
  9. Click "Next"
  10. Choose who can book appointments
    1. No self-service
    2. People in my organization (this is anyone with an @byui.edu address)
    3. Anyone
  11. Click "Create"
  12. After completion, click "Get Started"
  13. After creating a calendar, click on the “Booking page” on left hand side
  14. Region and time zone settings - set to your location (e.g. Rexburg would be (UTC-07:00) Mountain Time (US & Canada))
    1. Be sure to check the "Always show time slots in business time zone" box.
  15. Scroll back to the top and click Save.
  16. Under “Staff” on left hand side
    1. Click on Add new staff and follow the prompts if you have student employees or others you want to be able to be scheduled.
  17. Under “Services” on left hand side
    1. Click Add new service if you want to add a second service or appointment type with a different duration.
  18. Under “Business information” on left hand side
    1. In Basic details,
      1. Send customer replies to - it is critical to fill out this section with an email address. This is where all email replies to booking confirmations and reminders will be sent to. Typically, this will be your email or a shared office email, if this is for a team. When you add staff to the calendar later, they will get individual emails related to the bookings they are assigned.
    2. In Business hours - this is typically the business operation hours, not the actual bookable hours (8 AM - 5 PM). 
    3. ACS App Integration - leave blank.
    4. Scroll back to the top and click Save
