Attestation (SharePoint)

Body

Think of it like an annual inventory check for SharePoint sites. Every year, site owners are asked to verify that their site is still needed and that the right people have access. If nobody responds, the site can be archived to prevent old or unmanaged content from accumulating.

What is a Site Attestation Policy?

A Site Attestation Policy is a SharePoint feature that helps organizations regularly review SharePoint sites to make sure they are still needed and being managed correctly. Site owners are asked to confirm that their site's members, permissions, and sharing settings are still accurate.

Why is this important?

Over time, organizations can accumulate old or inactive SharePoint sites that are no longer being used. Regular reviews help:

  • Keep SharePoint organized
  • Reduce outdated content
  • Improve security by ensuring only the right people have access
  • Help users and AI tools find more relevant information

How does it work?

  1. A site owner receives an email asking them to review their SharePoint site.
  2. The owner confirms that the site's settings and membership are still correct.
  3. If the review is not completed, the organization can automatically take action, such as archiving the site.

BYU-Idaho Configuration

  • Site attestation reviews are currently scheduled to run every 12 months in March.
  • Owners will receive email reminders at 90, 60, then 30 days before the sites are turned into "read-only" mode.

Key Takeaway

Site Attestation Policies help ensure SharePoint sites remain active, secure, and properly managed by requiring periodic reviews from site owners. This helps keep information current and reduces clutter across the organization.
