Procedure to grant user access to OneDrive files after user has left university and no longer has access.

Graduated/Retired User Requesting OneDrive Files

Users who are graduated/retired lose all of their licenses besides their Exchange Online (Plan 1) for alumni. Their account is not deleted. Since their account still exists we can add additional licenses to grant them access to what they need, in this case OneDrive.


Procedure

  1. Go to the M365 Admin Center.

  2. Look up user in the search bar, preferably by user name to ensure it is the correct user.

  3. Select the user and a pop up box will show on the right side with their info.

  4. Select the "Licenses and apps" tab.

  5. Check the box next to "Microsoft 365 A3 for students use benefit" to assign the license that gives OneDrive access and save changes. If the user is not a student this license will still work just fine.

  6. Let the user know they have a week to move the content to a personal storage location, after which the license will be removed. Provide guidance on how to access OneDrive in case they have forgotten.

  7. Remove the license after that period of time. Remind yourself by creating an Outlook event.
